Privacy Policy — Procurement Approval (Internal Shopee Extension)

1. Purpose

Procurement Approval is an internal Chrome extension developed for Shopee's Procurement team. It automates the preparation of Seek Approval emails from RFQ (Request for Quotation) spreadsheets stored in Google Sheets.

2. Data this extension accesses

To perform its single purpose, the extension:

• Reads the URL of the active browser tab, to detect whether a Google Sheets RFQ is open.
• Sends the spreadsheet ID and a REQ ticket number to an internal Google Apps Script backend, which reads the corresponding RFQ data from that spreadsheet.
• Retrieves vendor quotation files (PDFs) from a designated folder in Google Drive, associated with the REQ being processed.
• Obtains an OAuth token, via the user's own Google account, to create an email draft in the user's Gmail account (subject, body, recipients, attachments) and to read the user's default Gmail signature.

3. Data this extension does not do

• It does not send, sell, or share any data with third parties outside of Shopee's own Google Workspace environment.
• It does not read the user's existing emails, contacts, or browsing history.
• It does not use any data for advertising, profiling, credit scoring, or lending purposes.
• It does not transmit data to any server outside of Google's own infrastructure (Google Sheets, Google Drive, and Gmail APIs).

4. Data retention

The extension does not store any RFQ or email data on its own servers. Data is read from the spreadsheet and Drive at the moment of use, and the generated email exists only as a Gmail draft in the user's own mailbox, until the user reviews and sends it (or discards it).

5. Scope of use

This extension is intended for internal use by Shopee employees only and is distributed privately within the organization. It is not intended for use by the general public.
